JOB OVERVIEW
Vice President of Property Management has overall responsibility for a significant portfolio of residential and commercial properties. Develops leasing strategy and implements capital improvement plans that maximize sales, profitability, and tenant satisfaction. Trains and manages lower-level, on-site property managers. Responsible for overall profitability of the portfolio and may support marketing efforts. Typically requires a bachelor’s degree in related area or equivalent. Reports to top management. Manages a departmental function with a broader corporate function. Develops major goals to support broad functional objectives. Approves policies developed within various sub-functions and departments. Typically requires 10+ years of managerial experience. Comprehensive knowledge of the overall departmental function.
Essential Job Functions:
- Lead the critical leasing effort of residential space (plus some commercial).
- Tenant outreach.
- Asset management and maintenance of existing portfolio, including staffing.
- Select and oversee property management team with the goal of extracting maximum value.
- Lead procurement and purchasing for portfolio-wide assets.
- Prepare presentations, memos, and reports summarizing the status of each asset.
- Cooperation and coordination with other departments, including construction/development, marketing, leasing, accounting, and IT.
Qualifications:
- South Florida market knowledge.
- Experience with managing and leasing commercial and residential projects.
- Experience working in a fast-paced, everchanging environment.
- Strong attention to detail and supervisory experience.
- Bilingual (Spanish and English)
- Property management and supervisory experience.
- Superior problem solving, administrative, and communication skills.
- Team player.
- Ability to frequently inspect properties.
- Computer literacy required.
Duties and Essential Functions:
- Build and maintain positive relationships with tenants, vendors, and staff members.
- Monitor properties within portfolio to ensure compliance with company standards.
- Review monthly reports and coach/mentor property managers to meet applicable standards.
- Conduct weekly (or more, if necessary) meetings on-site with property managers and applicable staff.
- Monitor income/expenses and overall financial health of the properties.
- Provide financially sound recommendations on capital improvement projects, and utilize company’s in-house expertise where possible to save money.
- Review the status of delinquencies and oversee collection efforts.
- Monitor key critical professional service contracts.
- Contribute as needed in procurement processes for maintenance and/or supplies required for each property.
- Assist in recruiting, training, developing, and directing a highly-motivated and effective team of property managers.
- Provide guidance, leadership, and coaching to property managers and other direct reports.
- Communicate any changes in policies and procedures to tenants and property managers (after said changes have been approved by senior management).
- Provide constructive and timely performance evaluations.
- Process promotions, transfers, disciplinary actions, and terminations of direct reports, in accordance with company policies.
- Manage team members and be responsible for leadership, performance management, and hiring/firing of team members within the portfolio.
- Regularly visit and walk-through the properties within the portfolio to identify and correct any inconsistencies with company standards.
- This is a full-time position. Evening and weekend work may be required, as job duties demand. This schedule may change to accommodate the business needs of the company.

- Employee is sometimes required to work for extended periods of time, being flexible in the hours which could include nights and weekends.
- Valid Florida driver’s license.
- Ability to react and address all emergency situations in a timely manner. Must be available to handle emergency calls.
- Active CAM license strongly preferred.
Areas of Responsibility
Financial Reporting
- Plans for exterior and interior improvements and capital projects, and makes budgetary recommendations accordingly.
- Reports on financial position, market analysis, physical condition, and forecasted expenditures for all properties.
- Conducts monthly and/or quarterly property status meetings.
Market Analysis:
- Reviews and analyzes the effectiveness of leasing personnel and property management practices.
- Authorizes On-Site Managers to take action intended to improve cost effectiveness and income enhancement based upon specific criteria.
- Maintains awareness of market/industry conditions and trends via trade publications, professional organizations, and information provided managers.
- Makes recommendations for the community/property marketing package and provides senior management with data for all properties.
Physical Condition of the Properties:
- Maintains knowledge of the physical condition of all communities/properties and approves expenditures or requests budgetary adjustments for leasehold improvements and capital projects.
- Ensures that On-Site Managers are overseeing all staff, outside services, and maintenance needs in order to guarantee quality, as well as cost effectiveness.
- Works with On-Site Managers to ensure the following facets of the organization are addressed: Maintenance, Preventive Maintenance, Safety & Inspections, Outside Services, Supplies & Equipment, and Staff.
- Reviews all liability and community/property incident reports, and forwards to Corporate Office insurance specialist.
- Reviews annual bids for all contract services (e.g., landscaping, painting, etc.) and authorizes contracts within allowable budget.
Management Control:
- Conducts all business in accordance with company policies and procedures, and appropriate government laws and regulations.
- Fully supports the goals and principles of federal and state fair housing laws. No properties shall discriminate in the housing of persons based upon their race, color, religion, national origin, sex, age, familial status or handicap.
- Approves all hiring, promotions, and terminations, once approval from Corporate Office is obtained.
- Ensures adherence to company procedures for new hires, established programs, annual performance reviews, review and approval of compensation, and the enforcement of company policies.
- Sets the operational goals of the community/property and establishes standards for property management, accounting and reporting, leasing, traffic and leasing documentation, customer service and tenant relations, computerized systems use, and workplace safety.
